Office Manager – Brentford, London (On-Site)
Salary: £35,000 – £39,000 DOE
We’re seeking a highly organised and proactive Office Manager to join our growing team in Brentford. This is a key on-site role at the heart of our operations, ensuring the smooth day-to-day running of the office while supporting our engineers, clients, and wider business functions.
As our business continues to expand across the South West region, this is a fantastic opportunity for an experienced administrator or coordinator to step into a pivotal position where no two days are the same. You’ll play a vital role in maintaining compliance, streamlining office processes, and helping us deliver outstanding service to our clients.
Key Responsibilities

Coordinate planned and reactive maintenance schedules in line with NSI guidelines and client SLAs.

Book engineer return visits, manage subcontractor appointments, and monitor efficiency.

Act as a first point of contact for clients—confirming appointments, resolving scheduling issues, and ensuring service excellence.

Maintain accurate records in the CRM system, including asset registers, job logs, and client documentation.

Support quotations, invoicing, and contract administration, ensuring compliance with service agreements.

Oversee engineer paperwork, timesheets, and escalate any discrepancies.

Manage the Brentford office facilities, including supplies, equipment, contractors, and general upkeep.

Ensure the office remains compliant with Health & Safety legislation, including risk assessments, fire safety, and first aid provisions.

Assist with accreditation processes, including NSI Gold, ISO 9001, and ISO 14001, supporting audits and continuous improvement initiatives.

Track and manage certification, insurance, and subcontractor renewals.

Coordinate staff onboarding—from desk setup and access to induction packs.
About You

Minimum 2+ years’ experience in office management, administration, or coordination (engineering/technical environment preferred).

Proficient in Microsoft Office with experience using CRM or service management systems.

Strong organisational skills with the ability to manage multiple priorities in a fast-paced environment.

Confident communicator, able to liaise effectively across teams, suppliers, and clients.

Knowledge of compliance, audit, or facilities processes, ideally within a regulated industry.

Understanding of NSI Gold standards, ISO 9001/14001, or similar frameworks (desirable).

A proactive problem-solver with excellent attention to detail and the ability to work independently.
