Exhibition and Events Manager

Leeds

14 month maternity leave

Monday to Friday 35 hours per week - some weekend ad-hoc work may be required.

This key role is responsible for the successful management and delivery of our high-profile exhibitions and events across EMEA which take place in various countries throughout the year. This opportunity is for a 14- month fixed term contract to provide cover during the maternity leave of the permanent incumbent and needs an experienced exhibitions & events manager who can travel within EMEA when required and consistently deliver high quality events.

The successful candidate will possess excellent relationship building skills and be able to collaborate closely with both stand contractors and our colleagues in Europe, taking responsibility for the effective planning, project management, co-ordination and delivery of the companies presence at all EMEA based exhibitions and events.

Key Responsibilities:-

Project manage the companies European presence at every exhibition or event within its EMEA area of operation

Work closely with the European Marketing Managers to understand and deliver their strategy for each event

Ensure timely advanced bookings of the required exhibition stand space for each event

Writing Event Brief to be shared with external stand contractors and communicated with internal stakeholders as required, e.g. Japan HQ, Sales Managers etc; this involves writing and sharing a detailed briefing document prior to each event with all staff attending the event; communicating all relevant show information to staff - including advising all attendees on health and safety, staff etiquette and expectations prior to arrival;

Choosing the most appropriate stand contractor for each event, either using the existing portfolio of contractors or tendering if required;

Working with stand contractors to complete all the design, install, manufacturing and build aspects of the project within the deadlines. This includes timely-sign off for graphics, renders, designs and scaled worked drawings;

Using Teams to create and manage each event project from start to successful delivery and completion; arranging Teams planning meetings with all necessary parties at every stage of the project to ensure timely and successful delivery;

Working closely with Technical Support team and contractors to sign-off the product list,

Creating Transfer Orders to book out products for shows; arranging the shipment and safe delivery of all products to the stand contractors before the show and ensuring their safe return to the relevant regional offices after the show;

Updating our company profile on the various show websites;

Working closely with the European marketing team on creating invitations, show promotions and discounts, social media plans, graphics, imagery & video content, PR and merchandise requirements specific for each show;

Ensuring advanced booking of hotels for all staff attending European shows; maintaining the Outlook calendar of events for all staff; supporting staff with any event related tasks e.g. booking meeting rooms on Outlook, registering for shows, recommending restaurants for dinner, advising on uniform guidelines;

Placing all the necessary website orders for the stand within the deadlines such as electricity, lighting, scanning apps, cleaning, furniture, hospitality, exhibitor passes etc;

Attending all events & exhibitions to manage the smooth co-ordination of the project and deal with any issues arising;

Collate all the post show data provided by the show organisers; arranging internal and external feedback and debrief meetings with staff and contractors after each show, ensuring that feedback is implemented at the next event as necessary;

Work with marketing managers to identify potential quantitative and qualitative success criteria for each event and find innovative ways to track and measure these;

Working with the Marketing Managers to advise on and ensure the consistency of our brand image and messaging across all our regional events as set by our European Marketing teams;

Ensuring the accurate reporting of all show related costs etc

Ensure that costs remain within budget throughout the year;

Before the new FY, working closely with the regional teams and European Marketing Managers to agree on the yearly budget for all EMEA and individual tradeshows, including a breakdown of the assigned budget for each individual event;

Knowledge, Skills & Experience Required:- Essential

• Strong project management skills, adaptable and highly organised with excellent attention to detail

• Previous experience of Exhibition management

• Ability to travel throughout Europe/EMEA

• Outstanding communication skills with the ability to influence people at all levels

• Excellent time management skills with the ability to prioritise multiple tasks, under pressure & deliver to tight deadlines

• Highly motivated with ability to maintain focus on key deliverables

• Intermediate computer skills – Outlook, Excel, Word, PowerPoint

•Full, clean driving licence
